A

Access Groups - Feature that allows limiting user access to specific patient records for data privacy and security. Access: Settings > Users > Access Groups

Allergy/Allergies - Medical sensitivities or adverse reactions documented in a patient's record. Access: Patient Record > New Consultation > Add allergy

Allow patients to book with a specific clinician - Online booking setting that, when enabled, displays individual clinician names and their available slots. Must be enabled when clinician availability is configured to show available appointment slots. Access: Settings > Online Booking > [Select booking link] > Allow patients to book with a specific clinician

Appointment - A scheduled booking between a patient and a clinician for a specific service. Access: Calendar > Click on time slot > Add appointment or Patient Record > Appointments > New appointment

Authorisation Code - A reference number provided by an insurance company to approve coverage for specific treatments or services before they are provided. Access: Patient Record > Relationship (insurer) > Authorisation code field

Availability - Time slots when clinicians are available to see patients, used for scheduling appointments. Access: Calendar > New > Availability or Settings > Users > [Select clinician] > Availability

Awaiting Collection (Healthcode Status) - The invoice is awaiting collection from the insurance company.

Awaiting Results (Lab Status) - Lab test has been processed but results are not yet available.

Booking - The process of scheduling an appointment, either by staff or through the Online Booking system.

Calendar - The scheduling interface showing appointments, availability, and out-of-office times for clinicians and locations. Access: Appointment (navigation menu)

Cancellation Message - Custom message displayed to patients after they cancel an appointment through online booking (e.g., "Your appointment has been cancelled. Please contact us if you need to reschedule."). If this field is filled, you cannot add a Cancellation Redirect URL. Access: Settings > Online Booking > [Select booking link] > Cancellation message

Cancellation Redirect Link - Custom URL where patients are directed after cancelling an appointment through the online booking system. If this field is filled, you cannot add a Cancellation Message. Access: Settings > Online Booking > [Select booking link] > Cancellation redirect URL

CCSD (Clinical Care Standard Dataset) - Standardised data collection for clinical care quality and outcomes reporting.

Clinician - A healthcare professional providing medical services (doctor, nurse, therapist, etc.). Access: Settings > Users > Add user (assign Clinician role)

Collected (Healthcode Status) - The invoice has been collected by the insurance company.

Comment - Notes or additional information added to various records in the system. Access: Patient record > Consultations > Comments

Confirmation Message - Custom message displayed to patients after they successfully book an appointment through online booking (e.g., "Thank you for booking. We look forward to seeing you."). If this field is filled, you cannot add a Confirmation Redirect URL. Access: Settings > Online Booking > [Select booking link] > Confirmation message

Confirmation Redirect Link - Custom URL where patients are directed after successfully booking an appointment through the online booking system. If this field is filled, you cannot add a Confirmation Message. Access: Settings > Online Booking > [Select booking link] > Confirmation redirect URL

Consultation Notes - Clinical documentation recorded during or after a patient appointment. Access: Patient Record > Consultations > [Select consultation] > Add notes or Calendar > [Select appointment] > Add consultation notes

Consultation Templates - Pre-configured note structures for standardising documentation for specific appointment types. Access: Settings > Medical Settings > Consultation Templates > Add template

Contacts - Directory of external individuals or organisations such as referring physicians, insurance companies, laboratories, or pharmacies. Access: Contacts (navigation menu)

Contract Pricing - Special pricing agreements with specific contacts (e.g., insurance companies or corporate clients) that override standard pricing for services. Access: Products > [Select products] > Contract Pricing > Add contract pricing

Credit Note - A document issued to reduce or cancel the amount owed on an invoice, typically used for refunds, adjustments, or corrections. Access: Patient Record > Invoices > Create Credit note

D

Data - The reporting and analytics section providing insights into practice performance and patient metrics. Access: Data (navigation menu)

Default Appointment Type - The pre-selected service or appointment category that appears as the default option when booking appointments. Access: Settings > Online Booking > [Select booking link] > Default appointment type

Documents - File storage for patient-related documents like letters, test results, images, and forms. Access: Patient Record > Documents > Upload document

E

Email - Electronic communications sent to patients or contacts. 

Emailing - The action of sending documents, letters, invoices, lab results, or other content directly to patients or contacts via email from within Semble. Access: Various locations with Email or Send buttons

Examination - Physical assessment findings documented during a consultation. Access: Patient Record > Consultations > [Select consultation] > Examination section

F

Family History - Documentation of medical conditions affecting a patient's blood relatives. Access: Patient Record > Consultations > Family History

Form - Hospital booking forms used to collect standardised information from patients for specific procedures or appointments. Access: Patient Record > Letters & Forms > Forms

G

General Calendar - Allows your practice to set broad availability for appointments rather than assigning them to specific clinicians. This provides greater flexibility in scheduling, particularly when the practitioner performing the service does not need to be a specific individual. Access: Calendar > General Calendar or Settings > General Calendar > Add availability

H

Healthcode - Integration for insurance billing and reimbursement claims submission. Access: Settings > Integrations > Healthcode

Heidi - AI-powered clinical documentation assistant integration that helps automate consultation note-taking. Access: Settings > Integrations > Heidi

Help Centre - Support resources and documentation for using Semble. Access: burger icon (top right corner) > Help Centre

I

ID - Unique identifier for patients, appointments, or other records.

Insurer - An insurance company providing health coverage for patients.

Invoice - A bill for services rendered, including line items, products, taxes, and payment information. Access: Patient Record > Invoices > Create invoice or Invoices > Create invoice

ISD (Industry Standard Code) - Standardised codes used for categorising and reporting healthcare services and procedures.

L

Lab Status - Indicates the current state of a laboratory test order:

  • Unprocessed: Lab order created but not yet sent or processed

  • Processed: Lab has received and processed the test order

  • Awaiting Results: Test completed but results not yet available

  • Read: Results have been reviewed by a clinician

  • Shared: Results have been shared with the patient

Access: Patient Record > Labs > [Select lab order] > Status

Labels (also called Tags) - Categorisation tags applied to patients for organisation and filtering (e.g., "VIP", "Discharged"). Access: Patient Record > Summary > Labels > Add label or Settings > Patient Labels > Add label

Letters - Professional correspondence such as referral letters, discharge summaries, or patient communications. Access: Patient Record > Letter > Create letter

Letter Templates - Pre-formatted letter structures with headers, footers, and standard content. Access: Settings > Letter Templates > Add template

Line Item - An individual service or product listed on an invoice. Access: Patient Record > Factures > [Select invoice] > Add line item

Location - A physical or virtual place where healthcare services are provided (clinic, hospital, telehealth). Access: Settings > Locations > Add location

Logs - Activity history showing actions taken within the system and when. Access: Patient Record > Logs

M

Medical History - Documentation of a patient's past medical conditions, surgeries, and health events. Access: Patient Record > Consultations > Medical History

Medical Record - Comprehensive clinical documentation for a patient.

Medical Settings - Configuration options for clinical documentation preferences and medical coding. Access: Settings > Medical Settings

Medication - Pharmaceutical prescriptions or treatments documented in a patient's record. 

Memberships - Subscription-based patient programmes that provide recurring access to services, benefits, or discounted rates (e.g., annual wellness memberships, care packages). Access: Products > New product > Membership

Minimum Notice for Booking - The minimum amount of advance notice required for patients to book appointments online (e.g., 24 hours before the appointment time). Access: Settings > Online Booking > [Select booking link] > Minimum notice for booking

Minimum Notice for Cancellation - The minimum amount of advance notice required for patients to cancel appointments online without penalty or contact requirements. Access: Settings > Online Booking > [Select booking link] > Minimum notice for cancellation

O

One Welbeck - Premium private medical facility in London with specialised Semble integration features.

Online Booking - Self-service system allowing patients to book appointments through a web interface. Access: Settings > Online Booking

OnBrand - Feature allowing practices to customise patient-facing pages with their own branding. Access: Settings > OnBrand

Outstanding - Invoice status indicating that payment is still owed and has not been fully received.

Overpaid - Invoice status indicating that more payment has been received than the invoice amount, resulting in a credit balance.

P

Patient - An individual receiving healthcare services from the practice. Access: Patients > Add patient

Patient Label - Tags applied to patient records for categorisation (see Labels). Access: Patient Record > Summary > Labels > Add label

Patient Portal - Self-service interface where patients view records, results, letters, and invoices. Access: patients access via their unique portal link

Patient Record - Complete file containing all information about a patient. Access: Patients > [Select patient]

Patient Summary - Overview page displaying key patient information and recent activity. Access: Patient Record > Summary

Pathways - Structured care journeys or treatment protocols that guide patients through a series of appointments, procedures, or milestones for specific conditions or treatments (e.g., fertility pathway, surgical pathway). Access: Products > New product > Add pathway or Settings > Pathways

Payment on Account - Payment received from a patient that is not yet allocated to a specific invoice, held as a credit for future invoices. Access: Patient Record > Invoices > Add payment on account

Policy Number - Insurance policy identifier for a patient. Access: Patient Record > Summary (edit) > Relationship (insurer) >  Policy number

Practice - The healthcare organisation or clinic (also called Organisation in French version). Access: Settings > Practice Settings

Presenting Complaint - The primary reason or symptoms that brought a patient to seek medical attention. Access: Patient Record > Consultations > [Select consultation] > Presenting complaint

Prescription - Medication orders created by clinicians for patients. Access: Patient Record > Ordonnances > Create prescription

Problem Heading - Title of the ongoing or chronic medical issue documented in the patient's medical record (e.g., "Type 2 Diabetes", "Hypertension"). Access: Patient Record > Consultation > Problem Headings > Add problem heading

Processed (Lab Status) - Lab has received and processed the test order.

Products - Offerings that can be booked, invoiced, and associated with clinical activities (e.g., "GP Consultation", "Blood Test"). Access: Settings > Products > Add product

Q

Questionnaire - Custom forms that patients complete online to provide information before appointments. Access: Settings > Questionnaires

R

Read (Lab Status) - Lab results have been reviewed by a clinician.

Refund - Money returned to a patient for overpayments, cancelled services, or adjustments, typically processed via credit note. Access: Patient Record > Factures > [Select invoice] > Credit note > Process refund

Relationship - Connection between a patient and another individual (e.g., emergency contact, next of kin, guardian, dependent). Access: Patient Record > Summary > Edit > Relationships > Add relationship

Role - A set of permissions assigned to users that determines what actions they can perform and what information they can access in Semble (e.g., Admin, Clinician, Receptionist). Access: Settings > Roles or Settings > Users > [Select user] > Role

Room - A specific consultation or treatment space within a location. Access: Settings > Locations > [Select location] > Rooms > Add room

S

Semble Connect - Advanced integration feature that enables seamless data sharing and connectivity with external healthcare systems and platforms. Currently only available to Enterprise clients. Access: Settings > Integrations > Semble Connect (if enabled)

Semble Pay - Integrated payment processing solution for online payments, stored cards, payment links, and refunds. Access: Settings > Integrations > Semble Pay

Settings - Configuration area for practice preferences, integrations, templates, users, and roles. Access: Settings (navigation menu)

Shared (Lab Status) - Lab results have been shared with the patient.

Sharing - The action of making documents, letters, lab results, or other content available to patients through their Patient Portal or via direct link. Access: Various locations with Share button (e.g., Patient Record > Documents > [Select document] > Share)

Slot/Slots - Specific time blocks in a clinician's calendar available for appointment booking. Access: Calendar > [Select time] or Settings > Availability

SNOMED - Systematised Nomenclature of Medicine - Clinical terminology standard for coding medical concepts in electronic health records.

Social - Documentation of lifestyle factors (smoking, alcohol, occupation, living situation) relevant to patient care. Access: Patient Record > Consultations > Social

SSO (Single Sign-On) - Authentication method that allows users to log in to Semble using their organisation's existing credentials (e.g., Microsoft, Google, Okta). Currently only available to Enterprise clients.

Stripe Standard - Basic Stripe payment integration option (as opposed to Semble Pay which offers enhanced features). Access: Settings > Integrations > Stripe

T

Tasks - Internal workflow tool for assigning and tracking action items between team members. Access: Tasks (navigation menu) or Patient Record > Tasks > Add task

Tax - Value Added Tax (VAT) or other applicable taxes on invoices. Access: Products > Selct product > Tax Settings or applied when creating invoices

Theatre Appointment - A scheduled surgical procedure or treatment booked in an operating theatre, including details such as procedure type, duration, required staff, and equipment. Access: Calendar > New appointment> Add theatre appointment

Theatre List - Schedule of surgical procedures or treatments for an operating theatre.

Title - Patient's courtesy title (Mr, Mrs, Ms, Dr, etc.). Access: Patient Record > Summary > Edit > Title

U

Unprocessed (Healthcode Status) - The invoice has been sent to Healthcode, but has not yet been processed by them.

Unprocessed (Lab Status) - Lab order created but not yet processed by the lab.

User - A staff member with login access to Semble, with permissions defined by their role. Access: Settings > Users

V

Validated (Healthcode Status) - Healthcode has received the invoice.

Video Consultations - Telehealth functionality for remote appointments between clinicians and patients through secure video calls.

X

Xero - Accounting software integration for synchronising financial data and invoicing between Semble and Xero. Access: Settings > Integrations > Xero
