How to Set Up the Heidi Integration in Semble
Note: Heidi is an independent platform and not a part of Semble. Any agreements or contracts with Heidi need to be managed directly through their team.

1. Before using Heidi, you need to ensure it is enabled in your settings:
Once enabled, you can proceed with the rest of the setup.
If you do not see the General Settings tab in Semble, this means that your user role does not have the necessary permissions to access it.
To gain access, you will need to ask a Practice Manager with the appropriate permissions to update your role settings.
They can adjust your access by following the steps outlined here.
2. Access the Patient’s File: Go to the file of the patient for whom you want to dictate.
3. Click on the Heidi AI Logo: Locate and click on the Heidi AI logo within the patient’s file.
4. When the acknowledgement modal pops up, click "OK, open Heidi".
5. Allow Microphone Access: When prompted, allow Semble to access your microphone to enable dictation.
6. Redirect to Heidi’s Website: At the bottom right corner of the screen, click on “Continue in a new window” to be redirected to the Heidi website.
7. Log in or Create a Heidi Account
If you already have a Heidi account, log in.
If not, create an account on the Heidi website: Heidi Health.
8. Enable the Integration: Once logged into Heidi, click on “Use Heidi on your integration” to activate the connection.
9. Start dictating: You will be redirected back to Semble, where the Heidi integration will now be ready for use.
How to Use the Heidi Integration in Semble
Follow these steps to use the Heidi integration for dictation in Semble:
1. Start the Integration: Click on the Heidi AI logo from your Semble interface to begin.
2. Maximise the Window (Optional): You can maximise the window for a larger view by clicking on the maximise icon.
3. Begin Your Consultation: Press "Start Visit" to initiate the session and begin your consultation.
Note: Heidi works seamlessly with Semble’s video consultations, but your voice must be captured through your computer’s loudspeaker for transcription.
If you need to use headphones, you can transcribe the consultation using the Heidi desktop app instead.
Please note that you will need to copy and paste the notes back into Semble afterward.
4. Conduct the Consultation: Proceed with your consultation as usual. Heidi will transcribe and process the discussion in real time.
5. End the Session: When the consultation is complete, click on "End Session".
6. Choose a Template: After ending the session, you’ll be prompted to use one of the templates from your Heidi account.
Note: Template management is available only via your Heidi account. Visit Heidi Health to manage templates.
During the Beta trial, all users will have access to the full range of templates, including those not typically included in the standard offering.
This exclusive access allows you to explore and utilise all available templates to best suit your needs.
7. Add Context or Review Notes:
Context: Add additional patient context or paste relevant consultation notes.
Transcript: View the full transcript of the session.
Note: View the consultation information formatted according to the selected template. If you’re unsure which template fits best, you can switch between templates to find the most suitable option.
Important: Always review your note before use to ensure it accurately represents the visit.
8. Adjust Voice Style (Optional):
Use the second dropdown menu to select a voice style that best suits your consultation tone.

How to Add Your Notes to Your Letters
Heidi allows you to seamlessly transfer your dictated notes into your letters. There are two ways to do this:
Method 1: If You Are Already on the Letter Page
Dictate your note as explained here.
Place your cursor where you would like the dictation to go within your letter.
Once you are done, click on "Push Note" and the note will be added to the letter.
Method 2: If You Are Not on the Letter Page
Dictate your note as explained here.
Click on "Push Note".
You will be prompted to choose whether you want to add the note to a new letter or an existing letter.
Click "Push" after selecting the letter, and the note will be added at the top of your existing letter.
Method 3: Copy and Paste the Note
Click on the two squares icon to copy the entire consultation note.
Manually paste the copied note into:
A letter.
A consultation note.
Heidi Integration for Existing Subscribers
If you already have a Heidi subscription, your access to the integration will depend on your plan.
Together Plan: If you are subscribed to the Together Plan, you will be able to use the integration without any additional payment.
Other Plans: If you are on a plan below the Together Plan, after your free trial you will need to upgrade in order to access the integration features.

Troubleshooting

Changes in Settings Not Reflecting
After making changes to your settings in Heidi, ensure you refresh Semble for the updates to appear. Without refreshing, the changes may not be applied to your Semble integration.
Issues with Live Transcription and Saving
Heidi performs live transcription, but it does not keep an audio recording. This means:
If your internet connection is interrupted or your device powers off, unsaved transcriptions will be lost.
To prevent losing progress, make sure to save your work frequently during use.
Microphone Not Working
You can check the status of your microphone directly in the Heidi widget:
Top-left corner of the widget: A green icon means the microphone is active, while a red icon indicates it is not.

Heidi provides access to free templates, which vary depending on your chosen plan:
